1. Information we collect
We collect information you provide, including your name, email address, optional phone number, ZIP code, vehicle year, make, model, requested part, optional VIN and details about whether the part fits your vehicle, notes, optional uploaded images or documents, support messages, and acceptance records. We also collect limited technical and transaction information such as timestamps, referral data, IP-derived security identifiers, browser information, payment status, and processor transaction references.
2. Payment information
Card information is collected by our hosted payment provider, not by our application. We receive transaction status and identifiers needed to confirm payment, prevent duplicate processing, handle disputes, and maintain business records. We do not store raw card numbers or card security codes.
3. How we use information
We use information to create and fulfill orders, identify the requested vehicle application, contact you, deliver reports, operate the staff queue, prevent fraud and duplicate submissions, maintain audit history, improve the customer experience, comply with legal and payment obligations, and protect the service.
We record a limited set of search-to-payment funnel events using a short-lived pseudonymous browser-session identifier. These events describe steps such as viewing the form, selecting a tier, and opening secure payment; they do not include your name, email, VIN, requested part, free-text notes, uploaded files, or payment-card data.
4. How information is shared
We share information with service providers only as needed to operate the service, including hosting, database, secure storage, payment processing, transactional email, analytics, security, and error-monitoring providers. We do not sell personal information. We may disclose information when required by law, to protect rights or safety, or in connection with a business transaction.
5. Vehicle information and uploads
A VIN can identify a vehicle and should be treated as sensitive operational data. Customer uploads are stored privately and are available only to authorized staff and service systems that need them. Do not upload unrelated personal documents or payment-card images.
6. Analytics and data minimization
Analytics are designed to exclude names, email addresses, phone numbers, VINs, uploaded filenames, private report tokens, and customer message text. We collect only the information reasonably needed for ordering, fulfillment, support, security, and measurement.
7. Retention
Order, payment, report, and audit records are retained for legitimate operational, accounting, legal, fraud-prevention, and dispute purposes. Optional uploads and other personal data are removed or de-identified when no longer reasonably needed, subject to legal holds and active disputes.
8. Security
We use private storage, access controls, staff role restrictions, encrypted transport, high-entropy access links, rate limits, webhook verification, audit logs, and server-only secrets. No online service can guarantee absolute security.
9. Your choices
You may request access to or correction of your contact and order information, or ask a privacy question, by emailing support@carpartfinderhq.com. Some records must be retained for legal, accounting, security, or dispute purposes.
